While the @Today function is a powerful feature in Lotus Notes programming it is not without its costs. In our case a small performance hit occurs each time this function is used in conjunction with a view.

In the early design of eProductivity, we chose to accept this performance hit as most users would be working on a local replica of their mail file anyway. Where it becomes a problem is when people access a server replica of a database and open a view that uses this function. That can impact server performance. The recommended solution from IBM Lotus, which we have adopted, is to eliminate the use of this function call and store the current date value once, when the 'Today' view is first opened.

That's a very simplistic explanation; what it means is that the 'Today' view will be faster even on large files and even when accessed on a server. It does require, however, that you open your mail file at least once each day. Otherwise, your 'Today' view may show out-of-date information.

For most people this will not be an issue. If, however, you are in the habit of leaving your 'Today' view open overnight (or for many days) your 'Today' view will show old data. The fix for this is simply to close and reopen the 'Today' View.

Originally posted on eProductivity

Teamstudio Announces the 2010 Spotlight Awards Winners!

Beverly, MA - January 28, 2010
On January 19, 2010, Teamstudio announced the winners of this year's Teamstudio Spotlight Awards Contest.

The contest, in its third year, was created to raise awareness of how creative, relevant and effective Lotus Notes applications can be.

Entrants were asked to submit a brief summary of their applications, which were then rated on 5 criteria: (1) complexity of task performed, (2) degree of automation, (3) size of user community, (4) business value, and (5) creativity and innovation of design. The judging panel, comprised of industry experts Bruce Elgort, Joe Litton, Julian Robichaux and Craig Schumann then selected 3 finalists to demonstrate their applications to determine the winners.

The winning entry, Response Tracker, was developed and submitted by an internal project team at Reliance Energy in India. The team, headed up by Atin Palekar, created an application that tracks for the energy company’s 25 million customers. This application impressed the judges with its rich feature set, extremely robust development methodology employed, and blatantly-impressive benefits. Response Tracker was the unanimous choice as this year's winner.

Second place went to the Notes Reconn application, created by David Jeyachandran, Johnny Jiang and James Harris, with their internal development team at Suncorp of Australia. Available free on OpenNTF.org, Notes Reconn allows easy creation of exports and charts from Notes databases. One judge called it “the most powerful export tool I’ve ever seen.”

Erick Mack and Ian Armstrong of eProductivity in the US were the third place winners for their eProductivity<
[Originally posted on the eProductivity.com web site.
FOR IMMEDIATE RELEASE

eProductivity™ "GTDŽ Enables" IBM Lotus Notes 8.5.1 with David Allen's "Getting Things DoneŽ" ("GTD") Methodology

LOTUSPHERE, ORLANDO, FL, January 18, 2010 - ICA.COM, Inc, (ICA) today announced the availability of eProductivity version 2.0 for IBM Lotus Notes 8.5.1.

People at over 900 of the world's most progressive organizations use eProductivity to reclaim up to 60 minutes each day by reducing the time it takes to capture ideas and commitments, process e-mail and manage information in Lotus Notes. Tasks that took minutes to accomplish now take seconds. Now, eProductivity 2.0 greatly enhances Lotus Notes 8.5.1 with new features such as sidebar widgets, composite applications, increased drag and drop functionality, and a rich web experience.

GTD and Lotus Notes Together
Based on David Allen's "Getting Things Done" (GTD) methodology and seamlessly integrated with Lotus Notes 8.5.1, eProductivity provides control and perspective across an individual's communications, projects, and actions, helping IBM Lotus Notes users reclaim up to 60 minutes of lost productivity each day and making getting things done with Lotus Notes productive, personal, and easy.

"ICA really made the commitment and took the time to understand the Getting Things Done methodology before they started developing the application. This understanding is both critical to a good GTD implementation and a prerequisite to my really spending any time with any one GTD application. It speaks volumes to the integrity and value of eProductivity that it is the only application I use to manage all of my projects and actions. It's indispensable to the way I get things done. Many of my staff have the same strong feelings about it," stated David Allen, Chairman of the David Allen Company and creator of the GTD methodology. "eProductivity is the ultimate GTD implementation tool for IBM Lotus Notes."

Long-time eProductivity user, David Walczak, CIO, Bayhealth Medical Center, said this: "ICA has created a very valuable solution which has had a very positive impact on my productivity in the following ways:
1. With rare exception, I now go home with zero email in my in-box. I've always been good with taking care of them but zero was an illusive goal.
2. The 'Today' view is very powerful. I am able to plow through the meetings and next actions that are in this view. It's a great feeling to click the 'mark complete' button and watch completed items disappear.
3. I actually now have a feeling of "mind like water" in that I have captured all my stuff and know what all my commitments are at any given point in time.
4. My sense is that eProductivity helps me easily reclaim 15 to 20 minutes per day in processing email and determining next actions.
5. The Weekly Review Coach works very well and keeps me on top of all the stuff I have to do.

The most significant way in which eProductivity has helped me is in keeping track of my commitments to my customers."

ICA Company president, Eric Mack, says, "We worked closely with David Allen over the past several years to really understand what it would take to fill a market need among Lotus Notes users who embrace the GTD methodology. With over five years of development, testing, and use with clients around the world, eProductivity builds upon the native robustness of the IBM Lotus Notes platform and provides GTD users with an easy to use and manage environment. We also worked closely with the Lotus Notes design team to ensure compatibility and capability that will complement the new features of Lotus Notes 8.5.1"

Scott Peterson, President, Harbor Group | CFO, Interstates Companies, said:
"eProductivity allows me to focus on the items that are a priority while not worrying about forgetting items I need to complete later. With almost 100 people using eProductivity on a daily basis over the past 4 Ŋ years, it has had a strong impact on our company. eProductivity allows me to manage expectations of my clients, ensure I follow-up in a timely manner, and deliver the results I promise. I could not have developed the same level of trust with my clients without it."

About ICA.COM, Inc.
ICA is a professional consulting organization, based in California, USA.
Eric Mack Presents Best Practices Sessions on Maximizing Personal Productivity at Lotusphere 2010

FOR IMMEDIATE RELEASE

eProductivity Expert Eric Mack Presents Best Practices Sessions on Maximizing Personal Productivity at Lotusphere 2010

LOTUSPHERE, ORLANDO, FL, January 18, 2010 - eProductivity Specialist, Eric Mack, will present two sessions at Lotusphere 2010 on January 19 & 20.
Best Practices Session, BP302:

"IBM Lotus Notes and Me: Maximizing Personal Productivity with Lotus Notes" will take place at 4:15 PM on Tuesday, January 19, at the Dolphin Hotel (Southern II).

Lotus Notes software is marketed as an "organizational" productivity tool, and that's often the way organizations deploy it - from the top down - not as a tool for "personal" productivity or knowledge management. As a consequence, many users see Notes as a "company" tool and not "their" tool. When tools become "personal," productivity increases and when personal productivity increases so does the productivity of the workgroup and the organization. This session will show both expert and novice Notes users how they can use Lotus Notes coupled with proven best practices to make them immediately more productive.

A birds of a feather session, "Getting Things Done with IBM Lotus Notes" will also take place at 5:45 PM on Wednesday, January 20 at the Swan Hotel (Macaw 1)

Abstract:
This session will explore ways to make using Lotus Notes more productive by making it "personal." This interactive discussion will bring together expert and novice Lotus Notes users to share how they are using Notes for personal action and information management.

"Eric Mack's approach to personal knowledge management and David Allen's GTDŽ methodology are natural companions. Add in Lotus Notes, and you have a great combination that can help individuals be more productive," said Ed Brill, director Lotus Notes, IBM Lotus.
[Originally posted on the eProductivity.com web site.
